AFW 2027 issues official invitation letters to participants who have completed registration and paid the registration fee. The letter is a document issued by the conference organiser confirming that you are registered for the conference and are expected to participate.
Why Participants Request One
Participants request these letters for a range of purposes, including institutional approval, funding applications, and travel documentation.
The invitation letter supports your application but does not guarantee a visa — all such decisions rest with the relevant embassy or consulate.
How to Request Your Letter
Step 01
Register and pay
Complete the registration form and pay the registration fee.
Step 02
Submit the request form
Use the same email address you registered with, and enter your details exactly as they appear in your passport.
Step 03
Receive your letter
Your request is processed and the official letter is emailed to you within 3–5 business days.
Two entry points: tick the invitation-letter box during registration, or submit the request form below. Either way, the letter is issued by email within 3–5 business days after payment is confirmed.
Any registered participant who needs official documentation confirming their conference participation — for a visa application, institutional permission, or funding release.
When should I apply?[+]
As early as possible after registering. Processing takes 3–5 business days, and any further application you make with the letter may take considerably longer. See Important Dates for the registration deadlines.
Can I get a letter before paying?[+]
No. Letters are issued only after registration and payment have been completed. This applies without exception.
Why do my details need to match my passport exactly?[+]
The letter states your name and identity details as you provide them. Any mismatch with your passport may cause the document to be rejected by the institution you present it to. We cannot reissue letters for avoidable errors.
What does the letter contain?[+]
Your name and details, your registration category, the conference name, dates, and venue, confirmation that your registration fee has been paid, and the organiser's contact details and signature.
Does the standard cancellation policy still apply?[+]
Yes. The standard cancellation policy applies to all registrations, including those for which an invitation letter has been issued. See Terms & Conditions.
